    Privacy Policy

    EFFECTIVE · OCTOBER 2026

    VERSION · 2.0

How we collect, use, and protect information from local business owners who work with us and the customers and callers they serve.

    01

    Scope and who we are

The Dollhouse Brand Studio ("The Dollhouse", "we", "us", "our") provides an AI receptionist and local-marketing service for local businesses — including dentists, med spas, real estate agents, plastic surgeons, chiropractors, gyms, plumbers, roofers, HVAC businesses, and other local trades. This Privacy Policy explains how we handle information when you visit our website, contact us, or work with us as a client.

This policy covers two categories of information: (i) information about you — the business owner or authorized representative — and (ii) information about your customers and callers that we may handle when operating the AI receptionist on your behalf. We follow applicable privacy and messaging laws where they apply to our services.

    02

    Information we collect

    Information you give us

    • Your name, business name, phone number, and email address when you book a call, use the demo form, or contact us through our website.
    • Your industry and business details discussed during onboarding so we can tailor the AI receptionist to how you want callers helped.
    • Calculator inputs — the values you enter in the missed-call calculator (missed calls per week, new-customer percentage, booking percentage, average job value) and the computed estimates.
    • Plan and checkout information — the plan you choose ($497 AI Receptionist or $997 The AI Employee), your name, email, phone, and business name submitted at checkout.
    • Communications you send to us, including email, SMS, and recorded calls when you consent to recording.

    Information collected automatically

    • Standard server log information such as IP address, browser type, device type, referring page, and timestamps.
    • Usage data on how you interact with our website (pages viewed, links clicked) via privacy-preserving analytics.

    Information from your AI receptionist

    • Call recordings and transcripts of AI-assisted phone calls and website chat conversations handled by your AI receptionist.
    • SMS and missed-call text-back message logs — the phone numbers and message content of callers your AI receptionist responds to on your behalf.

    03

    How we use information

We use the information described above for the following purposes:

    • To deliver the AI receptionist service — answering calls, working website chat, texting back missed calls, and sending review requests on behalf of your business.
    • To respond to inquiries, schedule onboarding calls, and onboard new clients.
    • To process payments and administer the business relationship.
    • To improve our service, tooling, and creative assets through aggregated, de-identified performance analysis.
    • To send operational communications and, with your consent, occasional educational content. You can opt out of marketing messages at any time.
    • To comply with applicable laws, platform policies, and our contractual obligations.

    04

    AI calls, chat & messaging

When we operate the AI receptionist on your behalf, it may handle AI-assisted phone calls, website chat conversations, and SMS messages with your customers and callers. These interactions may be recorded and transcribed so you can review them and so we can improve the service.

Missed-call text-back: When a call is missed, your AI receptionist can send a text message to the caller. If you or your customers no longer wish to receive SMS messages, you can opt out by replying STOP to any message. We honor opt-out requests promptly.

For your customers: If a customer contacts a business that uses our AI receptionist, their conversation is logged within that business's account. We do not sell or use that information for any purpose outside delivering the service to that business.

You are responsible for having the necessary permission to contact your own customers by call or text, and for complying with applicable messaging and consent laws. We follow applicable privacy and messaging laws where they apply to our services.

    05

    Sharing and third parties

We do not sell personal information. We share information only as described below:

    • Service providers. Hosting, analytics, communications (voice and SMS), payment processing, and AI providers we use to deliver the service. Each provider is bound by contract to handle information securely.
    • Payment processing. Payments are handled by our payment processor. We do not store your card numbers on our servers.
    • With your business. Customer and caller information collected through your AI receptionist is shared with you as the controller of that information.
    • Legal compliance. When required by law, court order, or to investigate suspected violations of our terms.
    • Business transfers. In connection with a merger, acquisition, or sale of assets, with notice to affected parties where required.

    06

    Cookies and tracking

Our website uses cookies and similar technologies for the following limited purposes:

    • Essential cookies that enable the site to function.
    • Analytics that help us understand which pages are most useful to business owners.
    • Conversion tracking from advertising platforms when you arrive through one of our ads.

You can control cookies through your browser settings. Disabling cookies will not affect your ability to browse the site or contact us.

    07

    Data retention

We retain information only for as long as needed to provide the services you have requested, to comply with our legal obligations, to resolve disputes, and to enforce our agreements.

    • Inquiry and website-visitor information: up to 24 months from last contact, unless you become a client.
    • Client and billing records: for the duration of the engagement plus the period required for tax and accounting purposes.
    • Call recordings, transcripts, and SMS logs: retained for the duration of your engagement and deleted or returned to you on request at the end of the engagement, unless a longer period is required by law.

    08

    Your rights and choices

Under applicable privacy laws, you have rights regarding your personal information:

    • Access the personal information we hold about you.
    • Correct inaccurate or incomplete information.
    • Withdraw consent for data processing, subject to legal or contractual restrictions.
    • Opt out of marketing communications at any time using the unsubscribe link in any email, by replying STOP to any SMS, or by contacting us.
    • Request that we delete your personal information, subject to legal retention obligations.

To exercise any of these rights, contact us at hello@dollhousebrandstudio.com or call us at +1 (437) 475-3311. For requests concerning a customer's information, contact the business where you received service — they are the controller of that information, and we will support their response.

    09

    Security

We use administrative, technical, and physical safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction. These include encryption of data in transit and at rest, access controls based on the principle of least privilege, and routine security reviews.

No system is perfectly secure. If we become aware of a breach affecting your information, we will notify you and applicable authorities as required by law.

    10

    Children

Our website and services are directed to business owners and adults. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child, please contact us so we can delete it.

    11

    International users

We operate from Markham, Ontario, Canada and serve local businesses. Some of our service providers may process or store data in the United States or other jurisdictions. Where data crosses borders, it is subject to the laws of that jurisdiction. We follow applicable privacy and messaging laws where they apply to our services.

    12

    Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Effective" date above and, where appropriate, notify clients directly. We encourage you to review this policy periodically.
